SAP Business One Procurement Integration: Common Questions Answered

Guide

Here are answers to the questions teams running SAP Business One most often ask about connecting it to Complyra.

What does the SAP Business One connector actually do?

Complyra's SAP Business One connector sends purchase orders from Complyra into your SAP Business One system. It works over SAP's Service Layer (REST) protocol. The connector only exports documents to the ERP — it does not import, sync, or pull records back from SAP Business One into Complyra.

What credentials do we need to set it up?

You'll need your Service Layer URL, company database name, username and password. These are entered directly by your team in Complyra's ERP Integrations settings. Complyra does not supply or store these on your behalf beyond what you configure.

Which documents can be exported?

At present, the connector supports purchase orders. Each exported purchase order carries through vendor, line items, category, cost centre and tax information, mapped to the corresponding SAP Business One fields.

How does Complyra map fields to SAP Business One?

Complyra's vendor field maps to CardCode, your business partner master code. Line items map to DocumentLines, category maps to ItemGroup, cost centre maps to CostingCode and CostingCode2, and tax maps to TaxCode per line. This mapping is fixed for the purchase order document type.

What happens if we haven't entered credentials yet?

If no credentials are configured, an export runs in test mode. It returns a placeholder document number and does not contact your SAP Business One instance. Live exports only happen once your own credentials are entered.

Does this work with SAP Business One on-premise or only in the cloud?

The connector is built for mid-market manufacturers and distributors running SAP Business One either on-premise or in the cloud, since it uses the Service Layer REST protocol rather than a database-specific connection. As long as your Service Layer endpoint is reachable, the setup process is the same.

Is this part of a wider ERP export feature or specific to SAP Business One?

The mapping and credential fields described here are specific to SAP Business One. Complyra's ERP Integrations settings are where you configure this and other ERP connectors for exporting procurement documents.
