How to reduce procurement cycle time

Cycle time is mostly waiting: for qualification, for quotations, for documents. Measure where the waiting is, then remove the causes in order of size.

Measure first

Timestamp the requirement, the RFQ send, each quotation, the award and the purchase order. The gaps tell you where to work. Complyra records these timestamps on RFQs, quotations and purchase orders.

The usual causes and their fixes

  • Waiting for qualification: keep a qualified pool so RFQs go to approved suppliers immediately.
  • Waiting for quotations: set a deadline and remind before it; invite several suppliers at once.
  • Waiting for documents: request them in the RFQ, not after award.
  • Waiting on comparison: collect structured quotations so comparison is immediate.
  • Waiting on the order: create the purchase order from the accepted quotation and export it to the ERP.

What not to shorten

Supplier approval and evidence review. Skipping them moves time from the front of the process to a customs hold or a recall at the back.
