How to find compliant suppliers

Finding a compliant supplier is mostly a matter of sequencing: know the regulations before you search, ask for the evidence in the RFQ rather than after, and treat missing documents as a ranking factor.

Start with the regulations, not the supplier

Compliance depends on the product category, its materials and the destination market. A food container for the EU triggers different rules from the same container for the US. Work out the list first; every later step uses it.

Turn the regulations into a document list

Each regulation expects specific evidence: declarations of conformity, test reports to named methods, certificates with numbers and expiry dates, safety data sheets. Write that list down. It becomes the supplier requirement and the RFQ attachment list.

Search a verified pool where you can

Directories and marketplaces are wide but unverified. Where a platform reviews suppliers before listing them, the review replaces part of your qualification work. On Complyra, suppliers register, upload certifications and are approved by an administrator before they can receive an RFQ.

Ask for evidence in the RFQ

Suppliers who cannot provide the documents should drop out at the quotation stage, not after the order. Put the document list in the RFQ and state that quotations without them will not be considered.

Verify what comes back

  • Certificate number, issuing organisation and expiry date are present and consistent.
  • The test report covers the same product version and material, and the methods match the regulation.
  • A declaration of conformity references the correct regulation and is signed by the manufacturer or importer.
  • Nothing is expired, and renewal periods are noted.

Frequently asked questions

Can a supplier be compliant without certificates?

For some regulations a self-declaration backed by test reports is the required evidence; for others a third-party certificate is required. The regulation pages list which applies.

What if the supplier says the documents will follow?

Treat the quotation as incomplete. Evidence that arrives after the order is the most common source of compliance problems.
