Supplier compliance checklist for regulated products
Compliance evidence is specific to the regulation, the product version and the market. This checklist is organised so that each item can be requested in the RFQ and checked when the quotation arrives.

Before the RFQ
- List the regulations that apply to the product category, materials and destination. The regulation pages on this site show trigger categories and required documents for each.
- For each regulation, write down the documents it expects and any substance limits.
- Decide which items are disqualifying if missing.
Documents to request
- Declaration of conformity or compliance referencing the exact regulation.
- Test reports to the methods the regulation names, for the current product version and material.
- Certificates with certificate number, issuing organisation, issue and expiry dates.
- Safety data sheets and material composition where substances are restricted.
- Labelling and marking evidence where the regulation requires marks on the product or packaging.
- Traceability information: batch, factory and date.
When the quotation arrives
- Every requested document is present, or the quotation is treated as incomplete.
- Names, numbers and dates are consistent across documents.
- Measured values in test reports are below the limits the regulation sets.
- Nothing is expired; renewal periods are noted for the supplier record.
After the order
- Documents are stored against the supplier and the product.
- Expiry dates are tracked and renewals requested in advance.
- Any change in product design or material triggers a fresh check.
